This position is to support general operations through the organization of documents required for document retention for all clients.
Additional responsibilities include the collection of all associated documents required to setup new vendors and maintaining existing vendor paperwork as well as the collection of vendors invoices that are required for timely invoice processing and the avoidance of service issues.

Responsibilities:
Daily interaction with vendors under a Manager's guidance Collection of vendor information as part of new vendor setup Collection of vendor invoices to ensure timely payment and avoid service interruptions Research billing issues and discrepancies Heavy phone and email interaction with vendors Accurate entries into Excel spreadsheet/database Performs scanning and tracking of vendors' Certificate of Insurance (COIs) and other related documents Contact vendors regarding service interruptions Conduct internet research on services and vendors Support the bid process by calling vendors to obtain rates Maintain flow of both electronic and hard-copied controlled documents, department files, and resource materials.
Prepare, scan, and quality check documents/images being converted to electronic/digital format.
Prepare and organize documents to conform to quality control standards, office procedures and system processes.
Ensure completeness of files; research missing documents, remove non-essential material.
Log, track, and maintain batch records.
Report and seek resolution for document control issues with service providers.
Prepare reports regarding quality issues with documentation.
Ad hoc reporting and periodically updating the franchise vendor database to ensure accuracy REQUIREMENTS:
High School Diploma required - college degree preferred 3 years' experience in an administrative role working in a high-volume work environment Clear written and verbal communication skills Strong attention to detail and accuracy Superior customer service & relationship building skills Positive attitude and team player Proven ability to be organized and perform required follow up Ability to multi-task while maintaining data integrity Cooperative and willing to assist others as a team Displays dependable and reliable behavior Effective at problem solving and ability to think on your feet Intermediate computer skills using Microsoft Office (Excel, Word, and Outlook) and effective at internet research Intermediate Excel skills with the ability to search data in a large spreadsheet including updating, filtering, sorting Prior experience utilizing data entry skills in a web-based system Responds well in a dynamic and fast paced environment Adaptable, team player that possesses strong attention to detail and reliability If you are looking to join a company with competitive pay, great work life balance, outstanding environment, and growth opportunities - LOOK NO FURTHER!
