Responsibilities:
Office Assistant Duties & Responsibilities included but not limited to:
Efficiently handle the day-to-day responsibilities of the space, such as answering phone calls and emails, making coffee, sorting and delivering mail, and, at times, giving tours.
Assist with managing inventory including snacks, coffee, printer area, and all office supplies Provide support to our team and members, assisting in daily office needs and projects, greeting and directing guests and assisting with general administrative activities Helping to create a vibrant and thriving community of entrepreneurs, freelancers, startups and generally amazing people Greet and assist all members throughout the day, maintaining at all times the highest levels of helpfulness and warmth Ensure that the member and guest experience is always consistent with our brand and customer standards of excellence Assist with the creation of marketing materials, communication to our members and guests and social media content Assist with onboarding new members and explaining available services Clean and prepare and maintain key member amenities and all meeting spaces and common areas throughout the day Assist with with events, member appreciation, and other member activities Putting on your superhero cape, diving into each day with a smile on your face, switching gears on a moment's notice and making each member feel like a rock-star Personal Assistant Duties:
Oversee any household operations, scheduling repairs, and managing service providers with discretion and efficiency, as needed.
Conduct personal errands, ensuring the family's needs are met with attention to detail.
Assist with planning and coordinating any family travel Assist with light childcare of two older children, as needed Safeguard privacy and confidentiality in all aspects of family and business matters.
Work Schedule:
This is a full-time position, requiring 40 hours per week.
The candidate is expected to work 5 days a week, with at least 3 days in the office and the flexibility to work remotely or perform personal assistant duties on the other days.
Availability for occasional extended hours or weekend Skills and
Qualifications:
Proven experience in office management or as a personal assistant.
Exceptional organizational and time-management skills, capable of handling a wide range of tasks efficiently.
Strong interpersonal skills to foster a positive experience for our members and meet the family's needs.
Competency in using office technology and software, with a quick adaptability to new systems.
High level of discretion and professionalism in handling confidential information.
Reliable, Self-motivated and resourceful Education:
High school diploma required; Bachelor's degree or relevant certifications in business administration, hospitality, or related fields preferred.
